Managing Reservations
Searching for Reservations
- On the Tee Sheet, in the bottom left-hand corner, click Search. The Search for a Reservation pop-up window appears.
- Enter one or more of the following search criteria:
– Alt ID
– Last Name
– First Name
– Home Phone
– Confirmation Number - Click Search. The Customer Search Results appear.
- Click the desired customer’s name. If you do not find the desired customer in the search results, click New Search to start over.
- The Round and Reservation Details for the selected customer Reservations are listed from most recent to earlier. You can do the following:
- To sort the results select from the Holes or Course dropdown lists, then click View.
- To go to a particular reservation, click anywhere on the The window closes and the Tee Sheet appears with the selected reservation highlighted.
- Click Exit to close the window and return to the Tee Sheet.
Editing Reservations
Changing the Customer Type or Age Type on a Reservation
- On the Tee Sheet, double-click the tee time for the reservation you’d like to change.
- On the Tee Time Management page, click on the player on the right half of the page that you would like to change.
- Select the proper Customer Type or Age Type of the player. The rate will be automatically changed to the proper rate from Rate Management.
TIP: When changing the Customer Type or Age Type for a reservation booked through an online channel, the rate will adjust automatically based on what is configured in Rate Management. To revert back to the rate quoted when the reservation was booked online, click the Online Rate button. When the green fees are displayed in the POS, the SKU for the selected Customer Type and Age Type will be automatically adjusted to the online rate.
Copying a Reservation
- On the Tee Sheet, highlight the tee time(s) you want to copy.
- On the Edit tab on the right-hand side of the page, select Copy.
- Click the time slot where you want to copy the reservation to.
- On the Edit tab, click Paste. The reservation is copied to the new time slot.
NOTE: To move the reservation to a different time, see the following section “Moving a reservation” using the Cut option. When copying a reservation, you are creating a new reservation and may lose certain information regarding the source of the reservation or special rates if it was booked through an external channel.
Moving a Reservation
- On the Tee Sheet, highlight the tee time you want to move.
- On the Edit tab on the right-hand side of the page, select Cut. This removes the reservation from that time slot.
- Click the time slot where you want to move the reservation to.
- On the Edit tab, click Paste. The reservation is moved to the new time slot.
Marking a Reservation as a No Show
- On the Tee Sheet, highlight one or more players in the tee time(s) you want to mark as a No Show.
- On the Edit tab on the right-hand side of the page, click No Show. A pop-up dialog box appears.
- Click OK.
Viewing a Customer’s Reservations
- In the lower left-hand corner of the Tee Sheet, click Search. The Search for a Reservation pop-up window appears.
- Enter any of the following search criteria:
- Alt ID: The customer’s alternate ID number in the database.
- Last Name: Full or partial last name of the customer.
- First Name: Full or partial first name of the customer.
- Home Phone: Full or partial phone number of the customer.
- Confirmation Number: A number associated with a completed reservation.
- Click Search.
- The Round and Reservations Detail page appears with a list of customers who match the entered search criteria. You can sort the results by Holes or Course. Select the appropriate customer from the list by clicking anywhere on the customer’s record.
- If no customer matches the search criteria, or the appropriate customer is not included in the search results, click New Search to search again.
- After a customer is selected, or if only one customer matches the search criteria, the Round and Reservation Details page appears, lists the customer’s reservations starting with the most recent reservation (a maximum of 50 reservations are displayed).
- Click a reservation to go to in the Tee Sheet. You can also sort the results by Holes or Course.
- To return to the Tee Sheet without selecting a reservation, click Exit.
Viewing Reservation Details
Viewing Changes Made to a Tee Time
- On the Tee Sheet, double-click the tee time slot you want to view. The Tee Time Reservation page appears.
- On the right-hand frame, in the upper right corner, click the History link. The Tee Time History pop-up window appears.
- You can view the following reservation information about a particular tee time:
- Date and time of the reservation
- Action – the action the user performed for the tee time (Reserve, Modify, Cut from the tee time, Pasted into the tee time, Check In, Remove Check In, Remove, Payment, No Show, Remove No Show, Rain Check, Void Rain Check, Refund, Void Refund)
- Method – the method you used to reserve the tee time (e.g. Tee Sheet, Website)
- User who made the reservation
- Station the reservation was made on
- Confirmation Number
- Do one of the following:
- Click the Print button to print the reservation statistics for the tee time, OR
- Click Exit to close the page and return to the Tee Time Reservation page.
Viewing Tee Sheet Daily Summary Information
- On the Tee Sheet, on the View tab on the right-hand side of the page, click Day Summary. The Day Summary page appears. The page shows the Quick View Bars for all courses defined in the view. It also shows Tee Sheet summary information such as number booked, checked in, paid, outing potential, and total potential.
- You can do the following:
- To see information on courses other than the current course, at the top of the page, click View All Courses.
- To sort by Reservation Method, use the Reservation Method dropdown list. Select whether to show information for the entire Tee Sheet, Tee Time Reservations or Group Reservations.
- Click Exit to close the page.
Viewing Tee Sheet Monthly Summary Information
- On the Tee Sheet, on the View tab on the right-hand side of the page, click Month Summary. The Monthly Summary page appears. The page shows a monthly calendar grid with color-coded dots on each day that represent tee time slots and bookings. The current day is highlighted. The page offers a quick view of bookings and availability for an entire month.
- You can do the following:
- Using the large dropdown list at the top of the page, select a different course.
- Click the left or right arrow at top of the page to select a different month.
- Click a day to go to the Tee Sheet for that particular day’s reservations.
- Click Exit to return to the Tee Sheet.
Viewing Group Notes for a Party
- On the Tee Sheet, double-click the tee time slot you want to view. The Tee Time Reservation page appears.
- In the right frame, at the lower-left corner are the Reservation Notes. You can enter any unique notes or information for any member of the party.
NOTE: Reservation Notes apply to a particular group (or tee time slot), while Tee Sheet Notes apply to an entire tee sheet (general notes for the day). To enter or modify Tee Sheet Notes, from the Tee Sheet, click Tee Sheet Notes or Modify Notes at the bottom of the page. Enter the Notes, and then click Apply.
